Required Qualifications: Associate's Degree. In lieu of degree, two years of directly related experience may be considered. Four years of full time directly related experience in an office setting, or other related experience. Strong letter writing and communication skills, as well as computer proficiency (i.e. Word, Excel, Access, Visio etc.). Experience in a customer service-related environment. Ability to work with diverse groups. Ability to take direction from management. Ability to work independently and manage multiple priorities in a fast-paced deadline driven environment. Strong analytical skills.
Preferred Qualifications: Associate's Degree in Human Resources, Business Administration or related field. In addition, two years of directly related administrative experience in the human resources field.

Brief Description of Duties: The HR Assistant will assist with the coordination of all HR functions for Campus Operations and Maintenance,  Custodial services, Transportation & Parking Operations, Utilities, Central Warehouse, Recycling and Sustainability.  This includes recruitment, hiring and retention, payroll and time and attendance functions for these departments.  This includes over 300 CSEA, PEF, UUP and MC employees. The selected candidate will:
  • Assist in maintaining all department personnel files and records to include time-sheets, evaluations, performance programs, training records, labor relations issues, compensation, leaves and all related personnel information.  Responsible for assisting with maintaining personnel records electronically as well as filing in department folders to ensure accurate, current information on each employee.
  • Create and modify position descriptions for job positing. Work with VP Coordinator to insure jobs are posted as required.  Schedule interviews and meeting logistics for recruitment and hiring.  Process Peoplesoft forms for hiring and required changes as needed.
  • Responsible for a variety of confidential assignments to include processing of salary, personnel and payroll transactions for signature, including department change forms, evaluations, check pick up, sorting and distribution, etc.
  • Work with Assistant Director to ensure all lines are budgeted appropriately.  Assist in maintaining updated organization charts for all departments.  Develop and maintain master employee list for all departments to include line numbers, salary information, vacant lines, contact information and other related pertinent information.  Ensure all information is accurate and up to date.
  • Assist the HR Coordinator in tracking all transactions to compile weekly reports to Assistant Director of Business on the status of personnel and payroll matters.
  • Assist the HR Coordinator with maintaining the database for department Policy & Procedures as they relate to the HR function.

Special Notes: This is a full time position, 37.5 hours per week, Monday through Friday, 8:30 a.m. to 5:00 p.m. The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. Internal and external search to occur simultaneously. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA.
