Required Qualifications: High School Diploma/GED. Three years of progressively responsible full time administrative/secretarial experience. Knowledge of obtaining insurance referrals and authorizations for clinic. Professional individual with courteous phone manners, excellent verbal and written communication skills and the ability to prioritize and multi task. Ability to work independently and as part of a team. Computer proficiency, sound organizational skills and attention to detail.
Preferred Qualifications: Prior experience in a medical office setting. Knowledge of scheduling complex procedures. Experience with Cerner.

Brief Description of Duties: Under the direction of the Director of the EP Lab and Medical Practice Plan Administrator, the Administrative Assistant I will be responsible for the following duties:
  • Provide administrative assistance, frequently of a complex and confidential nature, to support the EP Cardiology team of attendings. Appointment scheduling and making corrections/adjustments, scheduling EP procedures including PSTs, and updating the schedule with inpatient procedures daily. Obtaining medical records and test results, entering outpatient procedures into the SurgiNet program.
  • Act as a liaison between various departments to coordinate anesthesia, radiology and non-invasive cardiology. Contacting Cardiac care company representatives for patient services relating to the various cardiac devices prescribed.
  • Cross cover duties in the absence of support staff. Assist with the completion of patient insurance forms, letters, medical information, disability forms, etc. Prepare various documents in both Word and Excel.
  • Work closely with insurance companies for pre-certification of tests/procedures and medications. Obtaining insurance referrals for routine appointments, handling insurance company chart audits, Medicaid over rides. Complete working knowledge of all managed care information.
  • Schedule new EP patient appointments and procedures, including follow-up appointments. Complete appropriate chart work, including managed care referral paperwork, order labs and ancillary work, arrange hospital admissions, home care, and other durable medical equipment.
  • Maintain confidential patient information on Cerner, including scanning medical records into image documents.
  • Faxing, filing, photocopying, medical record typing.

Other Duties: As assigned by supervisors and physicians.

Special Notes: These are full time positions, 37.5 hours per week, Monday through Friday, 8:30 a.m. to 5:00 p.m. The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. Internal and external search to occur simultaneously. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Travel to Department of Medicine clinical sites will be required for this position. *This position is located at Hauppauge.
