Required Qualifications: Associate's degree. In lieu of a degree, two years full time office experience, preferably in benefit administration or insurance administration may be considered. Two years of previous full time experience in a support level administrative capacity. Working knowledge of various software applications (i.e. Microsoft Word, Excel, PowerPoint, Access, etc.). Experience with handling a high volume of phone calls, emails and walk-in’s. Experience managing multiple priorities.
Preferred Qualifications: Prior administrative experience in a Human Resources Department. Notary Public or obtain within three months of employment. Experience with Health Insurance and Retirement Plans. Knowledge of NYBEAS. Knowledge of Oracle. Knowledge of PeopleSoft. Knowledge of PayServ.

Brief Description of Duties: The Primary Purpose of this position is to provide administrative support to the Benefits Specialists. The candidate must have strong communication skills, as well as computer proficiency (i.e. Microsoft Word, Excel, PowerPoint etc.). Experience in a customer service related environment. Must be able to work with diverse groups. Must be able to manage multiple priorities in a fast-paced deadline driven environment. Ability to handle confidential information appropriately.
  • Initial Point of Contact for Benefits Team: Answer and Triage incoming calls; monitor Benefits email box; read, respond and/or forward to appropriate benefits specialist as necessary; open and distribute mail.
  • General Benefits Administration: Notarize Benefit Forms; maintain an adequate supply of benefit forms and booklets, ordering materials as needed; responsible for scanning incoming Benefits forms, and workflow forms so Benefits Specialists are able to take appropriate action; responsible for maintenance of old benefit records, determining how to proceed with storing documents (i.e. scan, box and send to archives or destroy); and process address change reports in NYBEAS.
  • Assist with processing Research Foundation and Graduate Employee health insurance enrollment forms. Prepare and send out Research Foundation COBRA notices.
  • New Hire Administration: Prepare materials for new employee orientation; send a reminder email to new hires prior to New Employee Orientation; solicit information from former employers regarding Long Term Disability (LTD) plans used to determine new hires LTD waiting period; receive, complete and mail forms related to the Long Term Care Benefits; attend and assist with Research Foundation and State orientation.

Other Duties: As assigned, to include but not limited to, providing front desk or health science center coverage.

Special Notes: This is a full time position, 37.5 hours per week, Monday through Friday, 8:30 a.m. to 5:00 p.m. The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. Internal and external search to occur simultaneously. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA.
