Required Qualifications: Bachelor's degree. Three years of full-time administrative experience. Experience in project management, practice operational management, and communication/marketing. Financial management and budgeting experience.
Preferred Qualifications: Additional years of full time administrative experience. Experience with grants and contracts. Proficiency in Microsoft Excel. Prior experience in website communication.

Brief Description of Duties: The Project Staff Assistant will work independently and be responsible for the Department's budgetary management, space allocation, IT implementation, and grant oversight.

Budget Management:
  • Responsible for departmental budget preparation and implementation, including state accounts, clinical funds, research awards, and Stony Brook Foundation (SBF) accounts. Fully responsible to the Chair for the financial management and oversight of all monies.
  • Will regularly monitor all contracts, IFR's (Income Fund Reimbursable), grants, SBF and special funds with ongoing inventory of expenditures and balances readily available.
  • Work with the Chair, Administrator, and Senior Staff to identify cost savings. Must ensure compliance with all state and federal regulations.
  • Will serve as the liaison with college comptrollers, accounting, governmental agencies, grants, foundations and other grantors. Report to the Administrator on all financials biweekly.
Physical Plant and IT:
  • Responsible for all space and IT issues in the Department's academic settings.
  • Oversee construction efforts and work proactively to improve space usage and IT deployment to maximize efficiencies and cost savings.
  • Work with the designated departments to implement IT and telephone improvements appropriately. Collaborate with Senior Staff on space and IT issues impacting the ambulatory environment as well.
Marketing/Communications:
  • Work with appropriate offices to prepare departmental bulletins, newsletters, and annual reports promoting the academic and clinical missions of the Department.
  • Oversee website use and maintenance.
Faculty Credentialing/Hiring Process:
  • Work with Administrator and Senior Staff on physician enrollment and termination processes.
  • Ensure department is utilizing accurate record-keeping.
  • Perform other human resource administrative functions as needed.
Grant Portfolio Management:
  • Aid the faculty and trainees with grant submissions, IRB submissions and identification of grant opportunities.
  • Review funding sources and agencies and assist faculty in identifying the same. Review grants proposals.
  • Serve as the liaison with grants management office.
  • Monitor financial progress of grants; IFR review; expense on grants review.
  • Keep abreast of and advise the Chair and faculty on proposed legislation or local policy changes that impact the department.
  • Other duties or projects as assigned.

Special Notes: This is a full time position. The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously.
