Required Qualifications: Bachelor's degree. Two years of full time experience in higher education, scheduling various types of meetings, and making travel arrangements.
Preferred Qualifications: Master's degree. Experience working in an academic department, using the State procurement system, processing visa paperwork and coordinating international travel arrangements.

Brief Description of Duties: The Staff Assistant will provide administrative support to all of the faculty in the College of Business. Our faculty consists of a total of about 60 full and part time faculty members.
  • Schedule various appointments and meetings, draft correspondence, assist with faculty searches by compiling all application materials that are received from various modes including: on-line resume system, direct email, hard mail and fax to create comprehensive files for review by the respective search committee committees.
  • Schedule faculty search interviews with the Assistant Dean for Administration, which includes scheduling transportation, making hotel reservations, etc.
  • Assist in events such as commencement, faculty meetings, guest lectures, and job talks.
  • Gather and organize paperwork needed from guest lecturers, visiting scholars, and new hires to be processed by Visa and Immigration Services on campus. This requires keeping logs and files of documents received, requests made, etc.
  • Make all travel arrangements for faculty including conference registrations, transportation, hotel and visas.
  • Using the procurement system, maintain all faculty annual professional association memberships and ensure all memberships remain up-to-date. Process and keep records of purchase requisitions and orders.
  • Process requisitions (travel vouchers) for faculty and candidates (during the search process).
  • Process requisitions for conference registration fees, office supplies, office furniture and computers for new hires, etc.
  • Work with outside vendors to obtain quotes and the best pricing and products to serve our needs.
  • Maintain Property Control for the College of Business as well as keep an inventory of basic (high use) office supplies. When necessary, place orders with the approval of the Assistant Dean for Administration.
  • Responsible for hiring, managing and training student assistants, including managing their schedule and approving their time.

Special Notes: This is a full time appointment, Monday through Friday, 8:30 a.m. to 5:00 p.m. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously. Night and weekend work is required.
