Viewing Student Records (Advisor Access)
If you have been identified as an Advisor (either in an advising office, student support office or academic department), you will have access to "Advisor Services” once you Login to the Solar System. You will have the following options as an advisor:

    • View Course Catalog - Use the search features to obtain specific course information.
    • Search Class Schedules - Use the search features to obtain specific class schedule information by term (Fall/Spring/Summer)
    • View Advisee Information - See instructions below.

The new simplified ‘For Advisors’ Menu. By simply entering in a students ID number you will be able to review all of the pertinent information for that student.

The familiar circle and slash Holds Summary is for a holds summary – which may impact student services, the star Positive Service is for “Positive Service Indicators’ – i.e. they have met a requirement of the university, and the page To Do List is for ‘To Do List Items’- usually associated with financial aid.

Important Terms
  • Academic Career: The type of “career” the student is pursuing (e.g., undergraduate, graduate, medical, dental).
  • Academic Plan: An area of study—major, minor or specialization within an academic program.
  • Academic Program: The program within an institution to which a student applies, is admitted, and ultimately graduates from.
  • Academic Requirement: A requirement to be satisfied by the student in order to graduate.
  • Admit Term: The first term in which an applicant is expected to enroll in an academic program.
  • Checklist Item: A unit of work that needs to be completed by a person. (e.g. an action, a required document, or a phone call.)
  • Class Number: (abbreviated ôClass Nbrö), The number the student uses to enroll for a specific class section.
  • Effective Date: Specifies the time in which a particular change or action became effective. This allows for historical record keeping, and for future actions to be processed.
  • Enrollment Appointment: the time at which the student becomes eligible to enroll for classes. The student can enroll any time after that, through their program’s add/drop period.
  • FERPA Indicator: An indicator in a student’s file when a student has filed a request under FERPA to restrict certain directory information from release about them.
  • Permission: If the student has been given permission to enroll in a class, the system recognizes the student’s ID and allows them access to enroll themselves.
  • Reserves: Seats reserved in a class for a specific type of student (e.g., seniors, majors, minors, student group, honors college, etc.).
  • Requirement Term: The starting term of the student’s career.
  • Service Indicators/Holds: System blocks (e.g., financial hold, advising block) that may prevent certain enrollment transactions or issuance of diplomas and transcripts. Follow instructions provided.
  • Session: A class scheduling/enrollment control time period within an academic term.
  • Term: An administrative time period within which sessions are defined, students are billed, and statistics are accumulated for individual students as well as for the entire school.
  • To Do’s: list of items that the student needs to act upon.
